The problems it was built for

The problem

A school is two businesses wearing one uniform: an academic institution and a debt-collection operation. Most software handles the first and leaves the second in a spreadsheet.

What we built

Fees are modelled as a first-class part of the system — structures, invoicing, payment plans and instalments, discounts, and balances carried forward between academic years, with aging reports that show which debts are drifting before they become uncollectable.

The problem

The timetable is built by hand over a weekend, and the clashes only surface on the first day of term when two classes arrive at the same room.

What we built

Timetabling detects teacher and room conflicts as the schedule is built, with room booking and change requests handled in the same place rather than by corridor negotiation.

The problem

Parents find out their child is struggling at the end of term, when the report card arrives and it is far too late to act.

What we built

A parent portal exposing attendance, assessment results and outstanding balances continuously, so a problem is visible while there is still a term left to fix it.

Staff cover is arranged by whoever is standing in the corridor when a teacher calls in sick, and nobody records what happened.

What we built

Staff attendance, leave requests and substitutions are tracked in the system, so cover is assigned deliberately and teacher workload is visible rather than assumed.

Common questions

Does XL-Academia support nursery, primary and secondary in one school?

Yes. Grades, classes, subjects and assessment structures are configurable per level, so a school running all three manages them in a single system with one set of student records.

How does it handle school fees and unpaid balances?

Fee structures generate invoices per student, with payment plans and instalments for families paying over time, discounts, and debt carried forward across academic years. Aging reports show which balances are at risk.

Can parents see their child’s progress?

Yes. A parent portal shows attendance, assessment results, report cards, homework and fee balances without the parent needing to phone the office.

Does it produce report cards?

Yes — report cards are generated from recorded assessment entries per term, so grading and reporting are the same data rather than a separate transcription step.
